At Remote COO, we’re always looking for smarter, more efficient ways to work – not just for ourselves, but for the incredible business owners and organizations we support. We recently dove into the world of AI during our training session, Maximizing AI: Best Practices for ChatGPT & Beyond. And while we’re not claiming to be AI experts, we are excited about the possibilities. After experimenting with tools like ChatGPT, we wanted to share a few key takeaways from our experience – what we’ve learned, what’s working, and how AI is helping us simplify day-to-day tasks, elevate our workflows, and spark creativity.
Why AI Matters to Our Work
Let’s face it: Productivity isn’t just about checking more boxes. It’s about doing things more efficiently. AI tools like ChatGPT help us automate tasks, brainstorm ideas, and create more meaningful connections with clients.
For example, think about the time it takes to draft follow-up emails, prep meeting agendas, or organize complex data. ChatGPT can handle the heavy lifting, so we can focus on collaboration, creativity, and the things that really make an impact.
What We Learned: It’s All About the Prompt
One of the most powerful lessons from our training was this: good input = great output. In other words, the clearer and more detailed your prompts, the sharper and more relevant the output you’ll receive.
Here’s a simple example we covered:
- Vague prompt: “Write a summary.”
- Clear, specific prompt: “Summarize this 10-page report into 5 executive-level bullet points, focused on key outcomes and recommendations.”
The difference in AI output from the above? Night and day.
Crafting a more detailed prompt helps ChatGPT deliver content that’s relevant, sharp, and saves time in the long run. We’re now more intentional with the way we frame our questions, describe the tone we want, and explain the context – and it’s paying off.
The Sweet Spot: AI + Human Expertise
We also learned that AI is best when it works alongside you – not in place of you. While ChatGPT can generate ideas, summarize articles, or offer a first draft of a social post, it’s our expertise, insight, and understanding of our clients that turn those ideas into something truly meaningful and impactful.
At Remote COO, we often use AI to get the wheels turning – then we step in to tailor the content, apply nuance, and make sure it reflects our clients’ voice and values. It’s about creating a balance. This hybrid approach means we can save time while sparking our creativity without compromising quality or connection.
How We’re Moving Forward
This training was just the beginning. At Remote COO, we’re approaching AI with curiosity and intrigue. We will continue to experiment, identify what works, modify what doesn’t, and collaborate on smarter ways to get things done, because it’s what is best for our team and clients.
Whether it’s creating templates for client communications, summarizing meeting notes, or brainstorming new initiatives, we’re keeping one thing in mind: AI isn’t about replacing creativity or connection; it’s about enhancing it.
